In order to get started on this project, we first had to know the ins and out of the membership and studio program process. We dissected every section of their current CRM spreadsheet and met with all department heads to understand exactly when and how they were involved in the membership process.

The Challenge

With the number of entrepreneurs, engineers, start-ups, and inventors Newlab houses, they were having an issue keeping up and staying organized while being efficient.

Newlab’s Interdepartmental communication and alignment faced many challenges due to the use of an outdated spreadsheet that served as their main source of membership tracking. Without a single company-wide space/ software to hold all important information and communication between departments, messages and needs would get lost during important time periods such as new member onboarding and offboarding.

The Solution

We knew one thing going into this project with Newlab, the CRM we chose had to be customizable and easy to navigate in order for all departments to use it.

After deciding that HubSpot would be our solution to their outdated CRM, we got to work uncovering the details.

In order to get started on this project, we first had to know the ins and out of the membership and studio program process. We dissected every section of their current CRM spreadsheet and met with all department heads to understand exactly when and how they were involved in the membership process.

We began by creating a custom HubSpot environment that tracked member data, and space inventory, and clearly tied together all company-to-employee relationships with these spaces.

After, we created custom workflows and reports that would help simplify the communication process between all departments.

From there we created extensive training documents and guides that walked the entire team at Newlab through their new CRM.

The Results

Before they transitioned to HubSpot, Newlab struggled to keep all of their departments in the loop. There was a lack of communication and efficiency with using the outdated spreadsheet and only 3-4 employees were using it. After implementing a fully automated and digital CRM solution, all of Newlab’s departments and almost 60 people are utilizing the platform!
